Reports To: Program Quality Director, in collaboration with the Finance Manager and District leadership

Descripton

The Fundraising Chair works with the Program Quality Director, Conference Chairs, Finance Manager, and District leadership to plan and coordinate fundraising opportunities. The Chair recruits volunteers, builds community and business relationships, and ensures proposed initiatives receive the required approvals before implementation.

Fundraising initiatives from the District budget and plans

  • Fall Symposium sponsorships and advertising: coordinate business outreach and approved sponsorship packages. The Fall Symposium budget includes a combined $5,400 sponsorship and advertising revenue target.
  • Conference program advertisements: promote opportunities to clubs and businesses, including the planned $25 club booklet advertisement; these are part of the combined Fall Symposium target, not additional revenue.
  • Spring Conference raffle: coordinate planning, donated prizes, volunteers, and approved ticket sales. Raffle proceeds are included with registration, sponsorships, and advertising in the Spring Conference combined revenue plan.
  • Additional opportunities: explore auctions and other fundraising activities for District approval. The separate Fundraising budget currently has no revenue target entered.

Key responsibilities

  • Develop a fundraising plan, timeline, and proposed goals for major District events.
  • Identify potential sponsors, conduct outreach, follow up, and maintain a record of commitments and recognition requirements.
  • Promote approved sponsorship packages and conference program advertising; seek donated prizes and other contributions.
  • Coordinate approved raffles, auctions, and event activities with Conference Chairs and the Fun Committee Chair.
  • Recruit volunteers and work with Public Relations to promote opportunities and recognize sponsors.
  • Work with the Finance Manager to track revenue and expenses; follow District approval, collection, documentation, and reporting procedures.
  • Confirm applicable Toastmasters requirements and local legal requirements before launching any fundraising activity.
  • Provide regular progress reports and recommendations to District leadership.

Ideal candidate

A Toastmaster who enjoys relationship-building, creative planning, and asking for support; is organized and comfortable leading volunteers. Fundraising, sales, sponsorship, or event-planning experience is helpful but not required.
